Bespoke Field Apps for
UK Site Engineers
Surveyors, safety inspectors, civil engineers, site auditors and field service teams rarely fit off-the-shelf software. Every business has its own templates, scoring, regulators, photo-evidence requirements and back-office hand-off. The patchwork of paper, PDF templates, Dropbox folders and Excel sheets that fills the gap is usually the largest source of admin overhead in the business.
Smart Wolf builds the bespoke field apps that replace the patchwork. iPad-first, offline-ready, configurable by your team, integrated with Xero or Sage and your CRM — all on Claris FileMaker, hosted in the UK.
What We Develop For
UK site engineers
iPad-First Inspection Apps
FileMaker Go on iPad — offline working in the field, sync when the signal returns. Designed for engineers in cabs, on scaffolds and on playing fields.
Survey and Audit Workflows
Configurable templates, sections and scoring. Your survey methodology stays yours; the engine just makes it efficient to capture and report on.
Photo Evidence and Annotation
Camera capture, geo-tagging, time-stamping and on-photo annotation — stored with the record and dropped into the report automatically.
Branded PDF Reports
On completion, a branded report is generated automatically — your template, your sections, with photos and signatures. Emailed to clients or uploaded to a portal.
RAMS, COSHH and Site Docs
Method statements, risk assessments, COSHH records, permits to work and toolbox talks live alongside the inspection workflow they relate to.
Back-Office Integration
Completed jobs trigger Xero or Sage invoices, CRM status updates and customer notifications — closing the loop without re-keying.
Claris FileMaker For
site engineering
Offline-first iPad working. FileMaker Go is native, not a web view. Engineers in basements, on scaffolds and in remote sites can work without a signal — the system syncs when it can.
Templates configurable by your team. New inspection types, scoring methods and report templates land without calling us. The engine is bespoke; the day-to-day is your team’s.
Branded reports clients actually want to receive. Generated automatically from the inspection record, in your branding, with photos, signatures and findings. Not a PDF from Word.
UK hosting, Cyber Essentials posture. Self-host or UK-managed cloud, GDPR-aligned. Useful when client tenders ask awkward questions about data residency.
Closes the loop into accounts and CRM. Inspection complete → invoice in Xero or Sage → client notified → asset register updated. No re-keying.

How We Deliver
field apps
Discovery in the field. We don’t design the iPad workflow from a meeting room. We walk the inspection with one of your engineers and watch how it actually happens — paper, photos, awkward signal, the lot.
Build, pilot, roll out. Working software in weeks. We pilot with two or three engineers, take their feedback, then roll out. No big-bang launches.
Integration as we go. Xero, Sage or your CRM is wired in as part of the build — not a separate phase 2 you eventually get around to.
Long-term partner. Once live, we continue as your Claris FileMaker partner for support, version upgrades and new workflows. See FileMaker support for the ongoing relationship.
Real Smart Wolf Clients
running field workflows
RBA Surveying — engineers work on iPad in the field, surveys flow back to the office automatically, reports go to clients without an admin step.
PHEMnet Air Ambulance — patient records, dispatch and audited governance reporting across an operating air-ambulance service.
Health and Hope — programme management and beneficiary records across multiple sites, with the same field-then-office capture pattern.
Different sectors, same operational pattern. If your workflow looks like “capture in the field, report from the office, integrate with the back end” — FileMaker fits.

Questions UK Teams Ask
Will the field app work without a signal?
Yes. FileMaker Go on iPad runs natively offline — your engineers, surveyors and inspectors capture everything in the field, and the system syncs back to FileMaker Server when they're next on a signal. The single biggest reason UK site-engineering businesses pick this stack.
Can we configure new inspection or survey types without a developer?
Yes — that's typically how we build it. The underlying engine is bespoke; the day-to-day shape (question sets, scoring, sections, templates) is configurable by your team. New survey types and inspection templates land without a fresh round of development.
How do photos and signatures work?
Photos are captured directly on the iPad, geo-tagged, time-stamped and stored against the inspection or survey record. Signatures (inspector and client) are captured on-screen. Both flow into the branded PDF report automatically.
Will it integrate with our accounts and CRM?
Yes. Completed jobs can trigger invoices in Xero or Sage, status updates in your CRM, customer notifications, asset-register entries — whatever closes the loop into the back office. See our FileMaker-Xero, FileMaker-Sage and integration pages for detail.
What about RAMS, COSHH and other site documentation?
Site documentation (RAMS, COSHH, permits to work, toolbox talks, induction records) lives naturally alongside the inspection workflow. We've built variants of this for clients running surveying, charity programme management and air-ambulance governance — different sectors, same operational pattern.
