FileMaker
Xero Integration UK
Stop re-keying invoices, copying contacts between systems, and reconciling payment status by hand. A properly built Claris FileMaker–Xero integration keeps both systems in step automatically — invoices, contacts, payments, tracking categories and multi-currency — so your sales team works in FileMaker and your finance team works in Xero without the gap in the middle.
Smart Wolf builds Xero integrations for UK businesses that have outgrown CSV imports and Claris Connect's out-of-the-box recipes. Every integration is delivered by a Cyber Essentials certified Claris Partner with GDPR-aligned security practices, role-based access control and a clear audit trail of every field that crosses the boundary.
What we connect between
FileMaker and Xero
Push Invoices and Quotes
Approved invoices and quotes flow from FileMaker into Xero as draft or authorised documents — line items, tax rates, tracking categories and contacts all in place, ready to send.
Pull Contacts and Customers
New contacts created in Xero appear in FileMaker; updates flow both ways so addresses, account managers and credit terms stay consistent across sales and finance.
Sync Payments and Credit Notes
Payments allocated against invoices in Xero update FileMaker's outstanding-balance view in near real time — your team sees what's paid without leaving the database.
Multi-Currency and VAT
Multi-currency invoices, FX gain/loss, reverse-charge VAT and EC sales are mapped during setup so cross-border transactions land in the right place for management reporting.
GL Codes and Tracking Categories
Revenue, cost and project codes are mapped between FileMaker line items and Xero tracking categories so management accounts reflect the right departments, projects and locations.
Secure, Audited Connection
OAuth 2.0 authentication, role-based access in FileMaker, and a clear audit log of every field synced. No credentials in scripts, no shared logins, no surprises during a Cyber Essentials review.
How We Connect
FileMaker to Xero
Smart Wolf integrations use Xero's REST API with OAuth 2.0 authentication — the same approach Xero recommends for production use. From the FileMaker side, we choose between the FileMaker Data API, the Insert from URL script step, and (where it makes sense) a thin middleware layer for queuing, retries and rate-limit handling.
Real-time triggers: Invoice raised in FileMaker → invoice in Xero within seconds. Payment received in Xero → outstanding-balance view in FileMaker refreshed on next open.
Scheduled sync: For high-volume catalogues, contacts or historical reconciliation, we run hourly or nightly batches with full audit logs and error retry.
Hybrid with Claris Connect: Where Claris Connect's pre-built Xero connector fits a simple flow, we'll use it — and reserve bespoke code for the parts that genuinely need it.
Common Xero Workflows
we automate for UK teams
Quote → invoice → payment. Sales team raises a quote in FileMaker. On acceptance, FileMaker generates the Xero invoice automatically, tags it to the right project, and notifies the customer. Payment status flows back so account managers can see who's outstanding.
Field-team job → invoice. Engineers complete a job on FileMaker Go (iPad), upload materials and photos, and the system produces a priced invoice in Xero by the time they're back in the van.
Stock and sales reconciliation. FileMaker tracks production, stock and delivery; nightly sync sends summarised revenue lines to Xero with the right nominal codes for management reporting.
How We Deliver A
FileMaker–Xero integration
Every FileMaker–Xero integration we deliver follows the same disciplined five-step process. You see working software early, and there is no go-live without a clean reconciliation against your live Xero data.
1. Discovery. We sit with your sales and finance teams, walk through the real-world process, and map every field that needs to cross between FileMaker and Xero. We capture edge cases — credit notes, multi-currency, part-payments — up front so they do not become surprises.
2. Field mapping and sandbox. We build the integration against a sandbox Xero org, map every line-item and tax-rate scenario, and confirm the mapping with finance before a single live invoice is touched.
3. Build and test. Real-time triggers, scheduled sync, audit logging and error handling are built and tested end-to-end. FileMaker scripts are documented so your in-house team can read them.
4. Sign-off and go-live. We run a full reconciliation against your live Xero data, confirm the numbers match, and switch the integration on with rollback ready.
5. Ongoing support. Xero deprecation alerts, version upgrades and integration tweaks are wrapped into our managed support — your finance team should never be the one to spot a broken sync.

FileMaker–Xero integration
questions from UK businesses
Can FileMaker push invoices straight into Xero?
Yes. Using Xero's REST API and OAuth 2.0, FileMaker can create draft or authorised invoices in Xero the moment they're approved in your database — including line items, tracking categories, tax rates and multi-currency. The same connection can pull payment status back into FileMaker so your team sees what's paid without logging into Xero.
Does the integration work in both directions, or only one way?
Both directions, configured to fit how your business actually works. A typical setup pushes invoices and quotes from FileMaker to Xero and pulls contacts, payments and GL code changes back. We map every field once during discovery and keep a clear audit trail of what flows where, so accountants and operations both trust the data.
What about VAT, multi-currency and Sage-style nominal codes?
FileMaker handles UK VAT rates, EC sales, reverse-charge logic and multi-currency conversion through Xero's tax and currency endpoints. Nominal codes (called tracking categories and accounts in Xero) are mapped during setup, so revenue and cost lines land in the right place for management reporting without manual reclassification.
Will the integration break when Xero changes its API?
Xero's API is versioned and Smart Wolf builds against the current stable version, with deprecation alerts wired into our monitoring. When Xero retires an endpoint, we're notified months ahead and update the integration as part of ongoing support — your team doesn't have to spot it from a broken sync.
Is Claris Connect or a bespoke integration better for Xero?
Claris Connect's Xero connector is a good fit for simple, low-volume flows — for example, syncing new contacts once a day. Bespoke integration wins when you need full control over the data and the logic — granular field mapping, real-time triggers, multi-entity Xero setups, custom business rules, or workflow that lives in FileMaker scripts. We'll recommend the right tool for your volumes and complexity, not push you onto one for the sake of it.
