process
A takeover moves through three clearly separated phases, so the business isn't put at risk in the handover.
1. Audit. A fixed-scope written audit of the FileMaker system — structure, security, performance, backups, licensing, hosting, risks and a prioritised action list. Typically 3–8 working days.
2. Stabilisation. We take safe ownership — credentials rotated, access mapped, backups verified, any urgent fixes applied, internal documentation written, monitoring put in place. You now have a baseline you can trust.
3. Ongoing support & evolution. A normal support arrangement with Smart Wolf as your Claris FileMaker partner. If modernisation makes sense — FileMaker 2025 upgrade, AI integration, a React web portal — we plan that as a separate, proper piece of work.
At every stage, you own the deliverables and the documentation. There is no lock-in.

What we look for
in a system takeover
Security posture. Account privileges, encryption at rest and in transit, authentication approach, extended privilege sets, audit trails.
Backup and recovery. Whether backups actually work — many don't — and how long recovery really takes.
Licensing. Correct Claris licence model for your user count and deployment, with no surprises at renewal.
Performance and structure. Data model, indexes, scripts, layouts, third-party plug-ins and any long-standing drag on day-to-day use.
Integration surface. Accounting, email, calendars, e-commerce, AI services — what's connected, what's fragile, what's missing.

Once a takeover is complete, most clients move onto a regular FileMaker support arrangement with Smart Wolf — either reactive (pay as you go) or a monthly retainer for proactive maintenance, upgrades and small enhancements.
You get the same senior, Claris-certified team through the lifetime of the engagement. And because the audit and stabilisation work is documented, if you ever do move on, the next developer will have far more to work with than you did. Yes — taking over a Claris FileMaker system built by someone else is one of the most common ways clients start working with us. We'll audit the system, document what's there, stabilise any urgent issues, and agree a practical plan so you're not dependent on one person again.
What does a FileMaker takeover engagement actually include?
A typical takeover starts with a written audit (structure, security, backups, licensing, risks), followed by a stabilisation phase (documentation, access, monitoring, any urgent fixes), and then a support agreement for day-to-day help. Modernisation and new feature work is a separate decision once the system is safely in our hands.
We don't have admin access to our FileMaker system. Can you still help?
Potentially — it depends on the situation. Regaining admin access isn't always simple and sometimes requires working with Claris directly or with the previous developer. We'll start with an audit of what you do have access to, map out the realistic options, and be honest about which ones are likely to work. We won't promise anything we can't deliver.
Is the audit useful even if we don't end up switching?
Yes. The audit is a fixed-scope deliverable. You keep the written findings regardless of what you do next — including if you choose to stay with your existing developer, move to a different supplier, or bring the work in-house.
Will you work alongside an existing supplier instead of replacing them?
Yes, where that's the right answer. Sometimes the sensible route is for us to provide a second opinion, fill a specific gap (AI, web portal, FileMaker 2025 upgrade) and leave the rest of the relationship intact. We'll tell you honestly when that's a better fit than a full takeover.
Can you take over and modernise the system at the same time?
Yes, but we strongly recommend separating the two. First, we stabilise and document so you have a safe baseline. Then, modernisation (FileMaker 2025 upgrade, AI integration, web portals, React front-ends) happens as a second, properly scoped engagement. This protects the business through the transition.
