Managing ski school business including online bookings, lessons and staffing

Avoriaz Alpine Ski School is a British-run team of professional ski and snowboard instructors. They provide ski lessons to holidaymakers in Morzine, Montriond and Avoriaz.

The challenge

The team in Avoriaz had been using a FileMaker database to track lessons and instructors but found it slow and awkward to use. More importantly, they wanted to take bookings directly through their website and needed a greater level of expertise to create a secure online system. The Director of the ski school was recommended to Smart Wolf and came to us with their requirements.

The solution

Given the limitations of the old database, we proposed to design and build an entirely new FileMaker system for them, providing substantial performance improvements and integrating directly to their website to take customer bookings.

We created a system that manages just about every aspect of the business, from taking enquiries and allocating instructors to classes, through financials, business performance and HR management.

The system holds details of all instructors that work with the company, listing their skills and qualifications along with general details. All the ski courses that they offer are recorded in the system. The system allows administrators and/or managers to assign instructors to classes, schedule instructors’ work, organise their holidays and calculate their pay.

A form on the website allows clients to send enquiries directly to the system, allowing administrators to recommend particular courses based on individual requirements, before directing them to confirmation and online payment.

Their ski instructors can use a tablet or their phones whilst out on the slopes to see their schedules along with details of each individual attendee.


With the new system, admin time has been cut down substantially, as enquiries and booking are created directly in the system. Payment processing is also automated, as are the confirmation emails sent out to clients and instructors.

Customer service is smoother as instructors view their diary, lesson schedules and attendee details whilst out on the slopes with their groups.

With the detailed performance reports that are created by the system, management can keep on top of revenue reporting, staff capacity and lesson availability, never missing a beat.
